As Office Manager, your role is to set the first impression of Illusive networks and ensure the smooth functioning of the daily office operations.

The position has three primary components — office management, HR administrative and logistics tasks partnership, and executive assistant – and other tasks may be added as necessary for the support of internal operations at Illusive.

This position is part of the finance team, working closely with the HR team. Essential attributes include excellent communication and interpersonal skills and an ability to multitask and remain focused in high-pressure situations. This person dives into the details while always keeping the big picture in mind. You’re always ready for new challenges and willing to take full ownership of anything that comes your way. Your day to day:

Provide general overall facility management services, including continuous monitoring of the office space, building services, office infrastructure, furniture, and office equipment – make it a great place to work!

Managing the company’s administrative matters: Booking flights, schedule meetings, management calendar, Happy Hours, etc’.

Front desk reception (answering phones, greeting visitors, handling deliveries);

Supporting HR processes and new hires’ on-boarding, well-being activities.

Supporting visits of customers, employees, and investors.

Managing contract and price negotiations with office vendors, suppliers, service providers and office lease

Address all employees’ queries related to office management issues (stationery, hardware)

Requirements:

This role would fit an enthusiastic and innovative mind that can work closely with decision-makers and liaise with functional teams to ensure smooth communication flow within the company’s global subsidiaries, whilst advising practical solutions to potential roadblocks.

At least 1 year of previous experience as an Office Manager/ Office Admin– must.

Incredible organizational and time management skills.

Proactive and able to multitask, to prioritize, to work under pressure, and to deliver results in spite of resource constraints

Quick learner and details oriented.

Passionate to serve employees, be a focal point, and manage office processes.

Fluent English – reading, writing, talking English.

A motivated passionate and proactive individual.

Independent and able to make decisions under minimum supervision.
